Badge printing
The Badge Printer add-on lets admins generate employee badges directly from the Kisi web dashboard. Each badge uses a standard template with your company logo, the user's photo, name and job title, plus an optional line of details. Badges are exported as a PDF that you download and print on any compatible printer. Whether for daily use or special events, it ensures the employee identification process is both efficient and polished.
This Badge Printer generates a PDF that you download and print yourself on any printer. It is not the same as the automatic badge printing on the Kisi Kiosk Pro, which prints visitor badges directly to a connected Brother label printer at the moment of check-in.
Organization administrators can also delegate badge printing to non-admin users. See Accessing the Badge Printing app as a non-admin user.
Set up the Badge Printer
- Sign in to Kisi
- Click the integrations icon (3x3 grid of dots) > Add Integration
- Provide a name for your integration and select Badge Printer from the dropdown
- Click Add
Each organization can have only one Badge Printer integration.
Create a badge
- Under Search Users, search by name or email and select the user for whom you would like to create a badge
- Under Job Title, enter the user's title, e.g., "Sales Manager"
- (Optional) Under Details, enter extra text to show on the badge, e.g., your company name or a department
- To upload a logo, click on Upload and select your company logo
- Click Download. The badge is generated and downloaded as a PDF. Your Details text and the user's job title are saved automatically.
The badge shows the user's profile photo, full name, job title, details and your company logo.
The job title you enter is saved to the user's Kisi profile and pre-filled the next time you print a badge for them.
The logo and Details text are shared across all badges. To remove the logo, click Delete under Logo.
Add a photo for a user
The user must have a photo, as it is added to the badge. If the selected user has no photo, the app shows the warning "The user does not have a photo. Upload here!". Click here in the warning to upload one. The image is saved as the user's Kisi profile photo. Download is available only after the user has a photo.
Badge size and file
Badges are generated as a single-sided 54 × 86 mm (CR80, portrait) PDF named after the user, e.g., Carl_Pfeiffer.pdf. Set your printer to that media size, or scale to fit. Generating the PDF can take several seconds.
Whenever you need to create new badges, click the integrations icon (3x3 grid of dots), select the Badge Printer integration that has already been added, and then click on Configure Integration.
Assign a card to a user
You can also assign physical credentials to users directly from the Badge Printer integration:
- Under Search Users, select the user you want to assign a card to
- Click Assign Card
- Choose the card type from the available options
- Enter the value the card type asks for (see the table below)
- Click Assign and Activate
| Card type | Value to enter |
|---|---|
| 3rd-Party NFC 4/7 byte | Card UID (hex) |
| EM410x/TK410x 32/34-bit | Card ID |
| H10302 - HID 37-bit | Card Number |
| Kisi credential | Card Token |
| Mifare Classic | Card ID |
Each user can have up to 10 cards. If a card with the same ID already exists in your organization, the app assigns the existing card instead of creating a new one.
Not all supported credential types are available to be assigned within the Badge Printer integration. For the full range of credential options and detailed instructions, see the physical credentials documentation.
Accessing the Badge Printing app as a non-admin user
Admin users can share access to the app with non-admins when it needs to be used by team members who don’t have full admin rights.
To share access:
- Sign in as an organization administrator.
- Go to the app and click Manage User Access in the top-right menu.
- Add the users you want to grant access to and click Save.
Once granted, the app will appear in their navigation, and they’ll be able to use it without needing full admin rights.
Delete the Badge Printer integration
When you delete the integration, Kisi asks you to confirm with "Are you sure you want to delete this integration?". Deleting the Badge Printer integration removes its logo and saved details. Job titles and profile photos saved to users stay on their profiles.
Troubleshooting
When opening the app:
- Access Denied - you don't have access to the app. Contact your administrator to get access.
- Unauthorized to access this integration – Session Expired - reopen the app from the Badge Printer integration in Kisi. The app redirects you automatically.
- Session could not be created - contact Kisi Support.
- Installation could not be created - your organization already has a Badge Printer integration. Use the existing one.
When assigning a card:
- Please ensure your values are in the correct format and try again! - check the value matches the format for the selected card type, e.g., hex for a Card UID.
- The credential already exists and is assigned to the user - the card belongs to another user. Unassign it from that user first.
- The user has already been assigned ten cards. - unassign a card from the user before adding a new one.
- The card is already activated. - the card is already active and doesn't need to be assigned again.
When uploading a photo:
- User profile image failed to upload, please try again later! - wait a moment and upload the photo again.
